My wife and I do many events like this. First thing we ALWAYS do is work closely with the person who hired us to make sure we understand what they want. Other than being ready to capture key moments, we make sure we capture the key company people and their spouses if appropriate, other key couples, key groups of company people, etc. If they want, we try to find a nice spot for some of these posed shots. Stay away from bare white walls, or getting too close to the wall and creating harse shadows. Ask for help identifying these people during the event if needed. If we are shooting a new location we try to investigate (keep in mind time-of-day) in advance if possible and make recommendations to them if we see lighting challenges such as heavy backlighting etc. Often they can improve these situations, but its hard to fix without some advance notice. Most importantly is have fun, it helps the guests have fun and makes getting good photos easier and comes through in the final photographs.
